The Need
The client is a busy luxury event maker who has a variety of clients and events that they deliver throughout the year. As a boutique organisation, there is a lot of organisation and coordination required, not just for their clients but for their own thriving business. The owner was struggling to keep up with the demands of her own business whilst still being able to provide the high level of service to her clients that she is renowned for.
The Solution
The client and I discussed the areas that they needed support the most for, the regularity of the tasks required, determined timescales, and preferred response times (either back to them or directly to the client) depending on the type of event that they were working on. We agreed to set up regular meetings both in person and online and to use a project management tool to track tasks needed for each event.
My Support
- Set up and managed a project management workspace for the team and designed it to be effective at keeping track of tasks required for each individual event/project.
- Took on the research role for whatever was required including: venues, transport, facilities, policies, entertainment amongst other needs stipulated.
- Managed the overall administration of events and projects: collating any documentation required, amalgamating and printing any event information, ensuring that the client had everything they needed to service their client and the event.
- Carried out general administration tasks for the business such as: setting up time tracking for time worked at events, creating and sending monthly invoices, posting Blogs on their website, management of their LinkedIn profile, contacting clients for testimonials, supporting the client with a website rebrand, applying for grants and available support during the pandemic.
- Continue to be available for any proofreading requirements for the business, regular social media posting, scheduling monthly meetings and reporting back on figures and performance.
The Results/Outcome
Love Luxury Events is as busy with their clients as ever and the improved organisational set up ‘behind the scenes’ means that they are now fully supported in the business leaving them to deliver their exceptional service to their clients. Whilst the company do what they do best - delivering fantastic events, I ensure that I fully maintain the administration and business support processes to ensure that the business thrives and constantly delivers for their clients.
